Mail merge and Office 2011 revisited

Mail merge and Office 2011 revisited

Twitter follower Toby Sax is anxious for me to revisit an old Mac 911 column that lays out the steps for creating mail merged documents in Microsoft Word. In a series of tweets Toby writes:Thanks for allowing me the chance to revisit this topic, particularly as it lets me answer some outstanding questions that followed it. For the sake of convenience I’ll pull portions of that column (in italics) into this one and answer as I go.The first step to creating a successful form-letter is understanding that Outlook has nothing to do with designing the thing. Rather, you create mail merge documents within Microsoft Word. And you do it this way in Word 2011.
                                         html mail
Choose Tools > Mail Merge Manager. A small Mail Merge Manager window will appear. This window contains six steps, all of which you march through in order to create your document.
Answer to Question 1: If you want to pull information from Outlook’s contacts, choose Office Address Book instead.
Now start constructing your form letter, leaving spaces where you want to merge your data. Return to the Mail Merge Manager window and click the third step. Here you’ll find common data types including first name, last name, address, phone number, and email address. Drag the appropriate data types to their proper place in your form letter.
In step four you determine which of your recipients are merged into the letter. Click Options and a Query Options window appears. In this specific case you choose groups of Address Book (or Outlook) recipients. Once you’ve selected the groups you want to include, click OK.
If you like, you can preview your form letter to make sure it’s constructed properly. You do this in step five by clicking on the View Merged Data icon and clicking the right or left arrow buttons to move through the forms. As you click, new records are injected into your document.
Finally, in step six you produce your merged email messages. You have three options: Merge to Printer, Merge to New Document, and Generate Email Message.
Answer to unasked question: Some people commented that the Generate Email Message option is grayed out for them. It is because your Mac must be configured to use Outlook as the default email client rather than Mail. To make it the default, launch Apple’s Mail, choose Mail > Preferences > General and from the Default Email Reader pop-up menu select Microsoft Outlook. If you don’t, you can’t send mail merged email. (So, in short, this feature is incompatible with Mail.)
That last option is the one you want. Click it and in the Mail Recipient window that appears enter a subject for your message in the Subject field and click Mail Merge to Outbox.
Choose HTML Message to maintain much of your original document's formatting.
Answer to Question 2: If you’d like to maintain the format of your original Word document, within this Mail Recipient window choose HTML Message from the Send As pop-up menu rather than Text.
Word should now generate customized versions of your message and place them in Outlook’s Outbox.
Answer to Question 3: If your messages appear in the Drafts folder instead of Outlook’s Outbox choose Outlook > Preferences > Composing and be sure that theWhen Sending Message, Automatically CC/BCC Myself option is switched off. Although I haven’t had the problem myself, some people have reported that when this option is enabled, mail merged documents will go to the Drafts folder instead of the Outbox.
In the second step click on Get List and choose the source for the data that will be inserted into your form letter—names, addresses, and phone numbers, for example. Your options include New Data Source, Open Data Source, Office Address Book (the one found in Outlook), Apple Address Book (Apple’s Contacts application), and FileMaker Pro. For our purposes, choose Apple Address Book.To begin, create a new blank document. Click Create New in the first step and you’ll see that you have the option to create a form letter, label, envelope, or catalog. For our purposes we’ll choose Form Letters.

How To Stream iOS Audio To Multiple AirPlay

                                      airfoil speakers
App will not send music you’re streaming via your device—Pandora, iTunes Radio, or a music subscription service such as Spotify or Beats Music—to multiple AirPlay devices. It must be music you have on the device itself. For that $3 you have the ability to stream to two destinations. You can add up to six destinations with an in-app purchase of $2 per destination (so, $8 to add four additional speakers).very slick app, though a little crowded on an iPhone or iPod touch. If you keep your media on your device it’s definitely worth trying.
But, if you’re like me, you use your iOS device to play audio from sources other than the Music app. There’s a way to do this if you have a Mac nearby and are willing to invest $25 to make this a reality.
                              multiroom music player
launched both Airfoil and Airfoil Speakers for Mac on your Mac, move to your iOS device and configure its AirPlay menu to send audio to the Mac. (In iOS 7 bring up Control Center, tap on AirPlay, and choose the name of your Mac from the list of destinations.) In a short time, the music will play on the Mac via Airfoil Speakers.
You now turn to Airfoil where you see a list of all your output destinations. Click on its source entry at the top of the pane, choose Other Application, and then select Airfoil Speakers as a source in the window that appears. Now click on the audio icon for each destination you want to send audio to. It should start playing on each device you’ve selected.
So, what’s happened here? Airfoil Speakers turns your Mac into an AirPlay receiver for your iOS device. Once that audio’s coming into your Mac, the Airfoil application then channels it out to any AirPlay devices you select. Obviously it would be great if iOS did this natively, but in the meantime, it’s a workable solution.
VLC Now Available For Windows 8 Latest Version

VLC Now Available For Windows 8 Latest Version

Windows 8-style version of VLC is finally here. After months of delays, the Kickstarter-funded project has reached its beta goal and is available to download from the Windows Store. While Windows 8 includes a built-in video player, VLC adds its signature support for a broad array of formats, including Ogg, FLAC, and MKV. VLC for Windows 8 also includes support for background audio, removable storage, and DLNA servers.
It’s practically the Swiss Army Knife of video playback, and the user interface matches Microsoft’s “Metro” design language with a Live Tile for the Start Screen. Unfortunately, it’s only available for Windows 8 right now in beta form, and the developer warns "it's clearly not as stable as it should be." It's also not compatible with ARM-based Windows RT devices like the Surface 2, but VLC is planning to add support in future alongside a version for Windows Phone. VLC for Windows 8 is available immediately in the Windows Store.

Creator of the web never expected it to be used for 'kittens'

On this date in 1989, Tim Berners-Lee submitted a proposal outlining what would ultimately become the World Wide Web. He took time to reflect on his monumental invention during a Reddit AMA today. "25 years later, I'm amazed to see the many great things it's achieved - transforming the way we talk, share and create," wrote Berners-Lee. Another thing he's amazed to see? "Kittens." That was the answer he provided when asked to name one thing he never envisioned the web being used for. Berners-Lee also said — as he has previously — that he almost called the World Wide Web by another name: the Mine of Information. "None had quite the right ring," Berners-Lee said of the rejected names, which also included The Information Mine and The Mesh.

okes aside, the tone of his Q&A session was largely serious and echoed remarks he made on net neutrality earlier in the day. "I want us all to think about its future and ask how we can help make it a truly open, secure and creative platform – available to everyone," he wrote. It didn't take long for the topics of data collection and NSA leaker Edward Snowden to come up. On Snowden, Berners-Lee said, "I think he should be protected, and we should have ways of protecting people like him. Because we can try to design perfect systems of government, and they will never be perfect, and when they fail, then the whistleblower may be all that saves society." But he noted that some aspect of web surveillance may be necessary "to fight crime." When it comes to shaping the future of the web, Berners-Lee says that everyone should make their voice heard and play a role. "It is up to us. It is an artificial creation, as are our laws, and our constitutions."

iPad updates its look for iOS 7 without selling out

FiftyThree today announced a small but important update to its popular Paper for iPaddrawing app. Several months after the launch of iOS 7, the company is finally offering its own take on Apple's minimalist operating system. But instead of copying Apple's visual aesthetic by ditching its skeuomorphic journals or adding a vibrant new color scheme, FiftyThree has evolved its own style by drawing inspiration from iOS 7's functionalist aesthetic.

buttons, and toggles are more legible than in the old Paper, and menus load faster when you tap on them. "[The new design] combines the emotional power of metaphor and the functional clarity of clean design," FiftyThree says. For Paper 1.6, FiftyThree also took the opportunity to add a few highly-requested features. Now when you spread your fingers outwards to zoom in on the page, tools zoom in too. In other words, the line weight of your pencil adjusts based on your zoom level, so you can more easily add details to your work. The company also added the ability to alter the size of dots by keeping your finger or stylus pressed on the screen. This marks the first time FiftyThree has toyed with imitating pressure sensitivity digitally. Up to now, the company has used the speed of your stroke to determine line weight.
Paper 1.6 isn't an enormous update, but is a clear sign that FiftyThree has no intention of abandoning its unique aesthetic when new trends come along. The notebook is not dead, the company seems to say, even if Apple has all but tossed out its yellow legal pads and leather-bound calendars.
Twitter Massive Spam Botnet?

Twitter Massive Spam Botnet?

twitter logo

posting on the site Cryptome about what he called a “Massive Twitter Botnet,” which was then picked up by Hacker News as well as a few publications. Among other claims, he put together a list of some 35,000 fake twitter handles, which he believes belong to a single botnet that is retweeting spam messages on the social network.
Yet a closer look shows that this is by no means anything unique. Social networks the size of Facebook and Twitter often delete many more accounts in the space of just a few hours.
Here’s Dietrich, who believes the number could be bigger, although he has no hard evidence:
After a bit of study, I was able to trace the creation of the botnet back to March first, and I decided to get some idea of the scale of the botnet, I pulled 33 such spam tweets into a spreadsheet, and counted unique handles. The number I got was in excess of 34,000, from only that small sample. There are literally thousands of spam tweets from this botnet. The botnet could easily involve hundreds of thousands, or millions of unique handles.
Twitter is no stranger when it comes to dealing with fake accounts and the spam they spew. We got in touch with the company regarding this particular claim and it quickly became clear that “massive” is a gross exaggeration.
“We have a variety of automated and manual controls to detect, flag, and suspend accounts created solely for spam purposes,” a Twitter spokesperson told TNW. “We’ve also taken legal action to shut down these spammers in April 2012 we filed suit against five of the most aggressive outfits.”
More specifically, the spokesperson reminded us that the service has over 240 million active accounts, of which some 5 percent at any given time it considers to be used just for pushing spam. That’s more than 12 million handles, making the 35,000 number rather puny, even if they were all linked to one botnet.
A “massive botnet” would have to include, well, a “massive” number of active accounts, all traced back to one control center. This botnet represents 0.29 percent of the number of active spam accounts that Twitter deals with at any one time.
We did our own analysis of the data Dietrich posted (zip file) and found that many of the accounts in question have already been deleted. Some still remain, so Twitter clearly still has work to do, but that’s the way spam fighting works: you’re never done.
